How to collect society maintenance on time

Most late payments are not refusals. They are forgetfulness, confusion about the amount, or no easy way to pay. Fix those three and collection improves without any argument.

1. Send every bill on the same day

Pick a date, for example the 1st, and keep it. Residents learn the rhythm. A bill that arrives on a different day each month is easy to miss.

2. Show the amount and what it covers

A bill that just says "Maintenance: 2,500" invites questions. List the charges that make it up, such as the monthly amount and any one-time charge, so the resident does not have to ask the treasurer.

3. Make paying a single step

If a resident has to ask for the payment details every month, some will not. Put the society's UPI ID or QR code, so the resident pays from their own UPI app straight into the society's account on every bill.

4. Confirm every payment with a receipt

Residents pay more readily when they are sure it was recorded. Issue a receipt the same day, with the flat, the month and the amount.

5. Remind before you chase

A friendly reminder a few days before the due date works better than a notice after it. Keep reminders short and polite, and send them privately. Do not post a list of defaulters in a group chat.

6. Agree the rules in the open

Decide at a meeting what happens after the due date, for example whether a late fee applies, and write it in the minutes. Check your own rules first. Rules people agreed to are easier to apply than rules the treasurer announces.

How LaFlaunt helps

LaFlaunt issues bills for every flat in one run, shows the society's UPI ID and QR code on each bill, issues a receipt once the treasurer confirms the payment, and can send optional email reminders on the days the admin picks.
