A treasurer's monthly checklist
A treasurer's job feels endless because it is done in scraps. Doing the same short list in the same order each month makes it a one-evening job.
Start of the month
- Issue bills to every flat, with the due date.
- Add any one-time charges the committee approved.
- Check that the opening balance matches last month's closing balance.
Through the month
- Record each payment on the day it arrives and issue a receipt. Check UPI credits against the bills.
- Record each expense with its bill. A bill photographed the same day is never lost.
- Ask a second person to approve expenses. Money decisions are safer with two people.
End of the month
- Match the bank statement to your records. Every credit should belong to a flat and every debit to an expense.
- Count cash in hand and compare it with the books.
- List who is still unpaid and send a polite reminder.
- Prepare the monthly summary for residents.
Once a year
- Collect the bills, statements and receipts the auditor or accountant will ask for.
- Prepare the year's totals by category for the yearly meeting.
How LaFlaunt helps
LaFlaunt keeps bills, payments, receipts and expenses in one place, lets you upload a bank statement and suggests which lines match waiting payment reports for you to tick, and builds a year-end pack for your auditor.
