How to run an AGM, step by step

A good annual general meeting is short, has a clear agenda and ends with written minutes everyone can read.

Before the meeting

  1. Check the society's bye-laws for the notice period and who must be invited. Send the notice in writing, with the date, time, place and agenda.
  2. Attach what people need to decide on: the year's accounts, the budget and any proposals.
  3. Ask people to confirm attendance. A count helps you check that you have the quorum your rules require.

The usual agenda

  • Confirm the minutes of the last meeting.
  • Present the year's accounts.
  • Present and approve the budget for the coming year.
  • Appoint or confirm whoever checks the accounts.
  • Committee elections or changes, if due.
  • Other matters, notified in advance where your rules require it.

During the meeting

Keep to the agenda. Take one decision at a time and read it back before moving on. Where people vote, record the result.

After the meeting

Write the minutes within a few days while people remember. Share them with everyone concerned, and keep a signed copy with the building's records.
